We understand that travel plans change. Our policy is designed to be fair to both travelers and our guides, who prepare for your trek days in advance. Please read these terms carefully before booking. If you have any concerns, contact us on WhatsApp before confirming your reservation.
Tour Cancellation Terms

Holiday & Public Holiday Policy
No refund is issued for Bus, Train, or Tour bookings made during Vietnamese public holidays and New Year periods, for any reason whatsoever. Cancellation must be made at least 72 hours in advance. Cancellations after this window receive no refund.
Vietnamese public holidays during which this policy applies include but are not limited to:
- Tết Nguyên Đán (Lunar New Year) — typically late January or February, 5–7 holiday days
- Hùng Kings Festival — 10th day of the 3rd lunar month
- Reunification Day — 30 April
- International Labour Day — 1 May
- National Day — 2 September
- Christmas & New Year — 25 December and 1 January
We strongly recommend booking holiday-period trips as early as possible. During peak holidays, all bus seats and homestay beds fill weeks in advance.
How to Request a Cancellation

Cancellations are only valid once confirmed in writing by our team. Refunds are processed via the original payment method (PayPal, bank transfer) within 5–7 business days of the confirmed cancellation date.
Rescheduling
We are happy to reschedule your tour free of charge when given at least 48 hours' notice, subject to guide availability on your preferred new date. Contact us on WhatsApp to check availability before requesting a reschedule.
Force Majeure & Cancellations by Us
In the event that Trekking Tour Sapa cancels a tour due to unsafe weather conditions, road closures, flooding, or other circumstances beyond our control, you will receive a 100% full refund or the option to reschedule at no extra cost. We will notify you as early as possible — typically the evening before.
Travel Insurance Recommendation
We strongly recommend that all guests purchase comprehensive travel insurance before booking. Travel insurance can cover trip cancellations, medical emergencies, flight disruptions, and personal belongings — providing protection that goes beyond what our refund policy covers. Ask us if you need a recommendation.
