A booking is not confirmed until payment is received and a booking confirmation is issued by Trekking Tour Sapa. We reserve the right to refuse or cancel any booking at our discretion, in which case a full refund will be issued promptly.

7. Payment Terms

A deposit of 50% of the total booking value (or full payment) is required to secure your reservation. Final payment of the remaining balance is due no later than the travel date. All prices are quoted in US Dollars (USD) unless otherwise stated.

Accepted payment methods include PayPal (all major credit and debit cards), OnePay, bank transfer (Wise), and cash (USD or VND) at our Sapa office. See our Payment Methods page for full details.

Prices are subject to change without notice for new bookings. Once a booking is confirmed and deposit paid, the agreed price is locked in and will not change.

8. Booking Confirmations & Vouchers

Upon receipt of payment, Trekking Tour Sapa will issue a booking confirmation voucher by email within 24 hours. The voucher will contain:

• Booking reference number
• Tour or service name, date, and time
• Number of participants
• Meeting point and guide information
• Total amount paid and any outstanding balance

It is your responsibility to check that all details on the confirmation are correct and to notify us immediately of any errors. Trekking Tour Sapa is not liable for problems arising from incorrect details that were not reported to us within 24 hours of receiving the confirmation.

9. Liability

Trekking Tour Sapa acts as an operator and service provider. While we take every reasonable precaution to ensure the safety and enjoyment of our guests, by booking with us you acknowledge and accept the following:

• Trekking Tour Sapa is not responsible for loss, injury, damage, or expense arising from events beyond our control, including but not limited to: accidents, natural disasters, adverse weather conditions, medical emergencies, political actions, government restrictions, or acts of God.
• Trekking Tour Sapa is not liable for delays or changes to the itinerary caused by weather, road conditions, or other circumstances outside our control.
• Trekking Tour Sapa is not responsible for the loss or theft of personal belongings during any tour or transfer.
• Guests participate in trekking and outdoor activities at their own risk. You confirm that you are physically fit and capable of participating in the activity you have booked.

Travel Insurance: We strongly recommend that all guests purchase comprehensive travel insurance before departure. Travel insurance should cover trip cancellations, medical emergencies, emergency evacuation, personal accidents, and lost or stolen belongings.

In all cases, the maximum liability of Trekking Tour Sapa to any guest is limited to the total value of the services paid to us for the affected booking.

11. Best Price Guarantee

Trekking Tour Sapa guarantees that the prices listed on our website represent the best available rate for our services when booked directly with us. If you find an identical tour offered by us at a lower price on another platform within 24 hours of booking, contact us and we will match the price difference.

To qualify: the identical tour (same date, group size, inclusions) must be available at the lower price at the time you contact us. Third-party discounts, flash sales, or promotional codes not offered by us do not qualify.

12. Quality Assurance

We are committed to providing high-quality trekking experiences led by knowledgeable, licensed local guides. If you are dissatisfied with any aspect of your tour, please inform your guide immediately so we can address the issue during your trip. Complaints raised after the tour has concluded are more difficult to resolve and may not result in a refund.

All complaints must be submitted in writing to [email protected] within 7 days of the tour end date. We will acknowledge receipt within 48 hours and respond fully within 14 days.

13. Copyright Policy

All original content on this website — including written text, photography, video, and graphic design — is copyright © Trekking Tour Sapa. Unauthorised reproduction, distribution, or modification of this content is prohibited without prior written consent.

If you believe that any content on our website infringes your copyright, please contact us immediately with the following information: a description of the copyrighted work, the URL of the allegedly infringing material, your contact information, and a statement that you have a good faith belief that the use is not authorised.
